Provide administrative support to the company and day-to-day office support. The person will conduct the role in an effective, confidential, and efficient manner, while demonstrating strong customer focus.
Primarily responsible for the professional and efficient managing of all incoming telephone calls from customers, visitors, employees, etc. to support exceptional customer service, both internally and externally.
Performs other basic to high level administrative functions and tasks such as receiving visitors, scheduling appointments, prepare incoming and outgoing mail, packages, and other correspondences through various vendors such as USPS, UPS, FedEx, etc. Prepares various reports and handles and other general administrative functions as assigned. Responsible for various administrative duties including, but not limited to; ordering supplies, ordering uniforms, creating mailing labels, updating phone extension labels, scanning and copying as needed, and order employee awards/plaques as directed. Assist accounting group by entering paper expense reports into system, enter/review timesheets as needed, reconcile travel card worksheets, and match wire paperwork. Assist senior management and HR department as needed. Coordinate company functions and celebrations.
High school diploma or equivalent with 2+ years of related experience. Post high school coursework or professional certification preferred. Physical demands include being able to sit/stand/walk for up to 8 hours a day, be able to talk and hear clearly, lift up to 30 lbs unassisted, climb stairs several times daily and on occasion while carrying up to 10lbs, be able to stoop, kneel, crouch and/or crawl, have close vision clear at 20 inches, and have color vision to be able to idenitify and distunguish colors. Intermediate level of the Microsoft office suite is required. Ability to effectively communicate and collaborate with diverse personalities in all levels of management, as well as outside vendors and clients, by maintaining objectivity and demonstrating maturity. Good interpersonal, organizational, communication and problem solving skills are required. Must be hands-on and be willing to roll up their sleeves to perform any and all responsibilities needed to ensure success.
